ROLE PURPOSE
The Receptionist / Office Administrator will be the first point of contact for all stakeholders, including students, lecturers, and visitors. This role is essential for ensuring the smooth operation of the college's administrative functions. The successful candidate will handle a variety of tasks, such as managing the front desk, coordinating meetings, and providing administrative support to various departments.
KEY RESPONSIBILITIES
Front Desk Management o Greet and assist visitors, students, and staff in a professional and courteous manner including managing visitor sign in/out security.
Answer and direct phone calls to appropriate departments or personnel.
Handle incoming and outgoing mail, including email enquiries, and deliveries.
Provide administrative assistance to lecturers, department heads, and other staff members
Maintain and update student records, databases and whole calendar
Prepare and distribute written communications.
Schedule and coordinate meetings, including booking meeting rooms and arranging necessary equipment with the internal Technician team.
Maintain the meeting room calendar and ensure all bookings are managed efficiently.
Act as a point of contact for stakeholders, addressing inquiries and providing relevant information.
Liaise with external partners, organizations, and agencies as required.
Maintain office supplies inventory and order new supplies as needed.
Ensure the reception area and office spaces are tidy and presentable.
Assist with the organisation of our events and activities.
ROLE REQUIREMENTS
Previous experience in a receptionist or administrative role.
A minimum of GCSE(C or equivalent) in English and Maths.
Proven experience in a similar role, preferably within an educational environment.
